Import and export

Move your chamber in from Excel, and take your data with you

Moving from Excel does not mean retyping everything. Download a template, paste in your existing list of clients, properties, tenants, or matters, and check a preview before anything is saved. Your data stays yours: export matters, invoices, and the trust ledger to Excel (CSV) whenever you need them.

The problem it solves

How most chambers do it today

Switching to new software usually means weeks of retyping client lists and property registers, so chambers keep putting it off. And many systems make it hard to take your own records out again when the accountant, an auditor, or a move to another system needs them.

What changes with LawKona

LawKona gets a chamber running on its real records in an afternoon instead of weeks, catches duplicates and errors before they are saved, and lets you take your records out at any time.

In practice

Moving a tenancy register out of Excel. The chamber and people are illustrative; every step is how LawKona works today.

  1. A chamber on the Practice plan keeps its landlord clients, 60 properties, and their tenants in one Excel workbook. The admin starts with clients — landlords are clients too.

  2. She downloads the client template, pastes in the landlords, and uploads it. The preview shows which rows are ready, two that look like duplicates, and one missing a name. She fixes that row and imports the rest.

  3. She repeats the same steps for properties, then tenants. Imported tenants are marked as awaiting consent and get no notices until the chamber records their consent.

  4. At year end she exports the invoices and the trust ledger to Excel (CSV) for the accountant.

How it works

  1. 01

    Download the template

In Settings → Import, choose clients, properties, tenants, or matters and download its template. Start with clients — landlords are clients too.

  2. 02

    Fill it from your spreadsheet

Copy your existing rows into the template’s columns and save it as a CSV file.

  3. 03

    Check the preview

Upload the file and see how many rows are ready, which look like duplicates, and which need fixing — before anything is saved.

  4. 04

    Import, then confirm consent

Import the clean rows. Imported tenants are marked as awaiting consent and receive no notices until your chamber records their consent.

  5. 05

    Export when you need it

Download matters, invoices, or the trust ledger as Excel (CSV) from those screens.

Who uses it

  • Admin or practice manager

A guided way to bring the chamber’s records in, with mistakes caught before they are saved.

  • Principal or partner

Confidence that the chamber’s records can always come out again.

  • Accountant

Invoices and the trust ledger as Excel (CSV) files, on request.

Why it helps your chamber

  • Start with your real files on day one

Up to 1,000 rows per file, so a whole client list or property register can come in at once.

  • Mistakes are caught before they are saved

The preview shows which rows are ready, which look like duplicates, and which need fixing, so you only import clean records.

  • Your data is never locked in

Export matters, invoices, and the trust ledger to Excel (CSV) from those screens whenever you need them.

Import and export questions

What can I import?
Clients, properties, tenants, and matters, up to 1,000 rows per file. Import clients first, then properties, then tenants.
What happens to duplicates?
The preview flags rows that look like records you already have. They are skipped unless you choose to include them.
Does importing count against my plan?
Imported properties count toward your plan’s property limit, and the preview tells you how many more you can add.
Can I get all my data out?
Export matters, invoices, and the trust ledger to Excel (CSV) from those screens. For a full copy, email support@lawkona.com.
