Property register and tenant intake

For chambers that act for landlords and property owners. Every building and unit sits on one register under its landlord client. New tenants apply through a private link you send them, a lawyer reviews and approves, and approval opens the tenancy matter with its dates already set.

The problem it solves

How most chambers do it today

Chambers acting for landlords often track tenancies in an Excel sheet, the caretaker’s notebook, and photos of ID cards sent on WhatsApp. Nobody is sure which flat is vacant or when a lease ends, and there is no record that the tenant agreed to their personal data being kept. Lease end dates are remembered late, and notices go out in a rush.

What changes with LawKona

LawKona gives the chamber a tenancy desk: one register of every property and unit, a safe way to take in new tenants with their consent on record, and a tenancy matter that sets up its own reminders the moment a lawyer approves the tenant.

In practice

A block of six flats in Lekki. The chamber and people are illustrative; every step is how LawKona works today.

  1. Chief Okonkwo instructs Adebayo & Co. to handle the tenancies for his six-flat building in Lekki. A paralegal adds the building under him as the client, then adds Flats 1 to 6.

  2. A prospective tenant wants Flat 4. The associate generates a private intake link for the property and sends it to her.

  3. She enters her details and preferred start date, uploads her ID, and ticks the data consent box and the box to receive WhatsApp messages. Her application arrives in the chamber’s Intake queue and in Inbox, and the lawyers get an email.

  4. The associate reviews it, confirms the lease start, and approves. LawKona opens the tenancy matter, marks Flat 4 occupied, sends her a rent-start message by email and WhatsApp, and sets up the lease reminders from the chamber’s rules, such as a lease-expiry notice 30 days before the lease ends.

How it works

  1. 01

Add the property and its units

Record the building under the landlord client, then add each flat, shop, or unit. The register shows what is vacant, occupied, or under notice.

  2. 02

    Send a private intake link

Generate a link for that property and send it to the prospective tenant. Links can expire or be revoked. For walk-in tenants, register them on paper and confirm consent was collected.

  3. 03

    The tenant applies

They enter their name, phone, email, and preferred lease start, upload an ID, and tick a data-consent box that is never pre-ticked, with a separate choice to receive WhatsApp messages. The application arrives in your Intake queue.

  4. 04

    A lawyer approves

Review the application and any conflict hits, confirm the lease start, and approve. LawKona opens the tenancy matter, marks the property occupied, sends the tenant a rent-start message, and sets up the tenancy reminders.

  5. 05

Close it when the tenancy ends

Closing the matter sets the property back to vacant, with its history kept for the next tenant.

Who uses it

  • Principal or partner

Every landlord client’s properties on one register, with occupied, vacant, and under-notice units at a glance.

  • Associate or paralegal

A clean intake flow: send a link, review the application, approve — and the tenancy file sets itself up.

  • Tenant

A private form to apply, a clear consent choice, notices and rent-start messages by email and WhatsApp, and — if invited — a portal with their own dates, documents, and invoices.

Why it helps your chamber

  • Know the status of every unit

See at a glance which flats and shops are occupied, vacant, or under notice — without calling the landlord or the caretaker.

  • Cleaner tenant onboarding

Tenants apply through your private link, upload their ID, and give data-protection consent that is recorded on the file.

  • Dates set the moment you approve

Approving a tenant opens the tenancy matter, sends the tenant a rent-start message by email and WhatsApp, and sets up the lease reminders, so lease and notice dates are never left to memory.

Included in

Free, Solo, Practice, and Chambers. Free for 1 lawyer and 3 properties, no card needed.

Free covers 3 properties, Solo 15, Practice 75, and Chambers 200 — see pricing for the current limits. Tenant messages go by email on every plan, and by WhatsApp too on Solo, Practice, and Chambers.

  • Reminders and alerts

LawKona works out every date on the file and reminds the right people ahead of time — the lawyers by email, tenants by email and WhatsApp. The chamber stops missing dates, and tenants stop saying nobody told them.

  • Notices

Tenancy notices prepared on time from the lease dates, approved by a lawyer, then sent to the tenant by email and WhatsApp with a record of every send. No more notices remembered late, sent from personal phones, or sent without a senior lawyer seeing them.

  • Client portal

A private page where each client or tenant sees their own matters, dates, documents, and invoices, and pays online. Fewer “any update?” calls, and no documents lost in chat threads.

Property and tenancy questions

Is this a listings site?
No. Tenants can only apply through a link your chamber sends. There is no public browsing or searching of your clients’ properties.
What does the tenant fill in?
Full name, phone, email, preferred lease start, an ID document, and a separate consent to the processing of their personal data for the tenancy.
Does LawKona collect the rent?
No. LawKona keeps the tenancy, its dates, and its notices on the file; rent is paid to the landlord the usual way. Your chamber’s own fees can be invoiced and paid online.
What happens at my plan’s property limit?
Every property you have already added stays. To add another, upgrade to a plan with more room — the new limit applies as soon as payment goes through.
Can we import our existing tenants?
Yes. Import properties and tenants from a spreadsheet. Imported tenants are marked as awaiting consent and receive no notices until your chamber records their consent.
Can tenants see their own dates and documents?
Yes, if you switch on the portal in Settings and invite them. They sign in to see the matters, key dates, and documents that concern them — and their invoices, with a PDF copy and a Pay now button.
